We are looking for an Executive Assistant to support senior managers within our Supply department. This role plays a key part in ensuring smooth day-to-day operations and acts as a central point of coordination within our Milan office.
Responsibilities:

Manage complex executive calendars, ensuring effective prioritization, smooth scheduling, and seamless handling of last-minute changes

Coordinate business travel end-to-end, including detailed itineraries and compliance with company policies

Support communication by managing correspondence and acting as a trusted liaison between executives, teams, and external stakeholders

Handle sensitive and confidential information with discretion while supporting strategic topics

Prepare high-quality presentations, reports, and oversee expenses and core administrative processes

Organize and coordinate meetings and events, ensuring flawless logistics and a great participant experience

Anticipate needs, proactively address challenges, and act as a reliable partner in a fast-paced environment

Oversee office operations, including vendor management, supplies, onboarding support, and fostering a well-functioning workplace
Requirements:

5+ years of experience in an Executive Assistant or similar role supporting senior leadership in a fast-paced, international environment

Proven experience managing complex calendars, travel arrangements, and multiple priorities simultaneously

Strong stakeholder management skills, with the ability to interact confidently with senior executives and external partners

High level of discretion and professionalism in handling confidential information

Excellent organizational skills, attention to detail, and a proactive, solution-oriented mindset

Fluency in English and Italian is required; French is a plus
